Archival changes to the forum and discussion about Troop Signs ups and Troop Reports

Hi Everyone,

I've created a new archive folder in the Mission Planning section of the Tython Base section on the main forum. It will be used to transfer all troop request information once troops have happened AND had there troop reports written. Also any unattended troops or cancelled troops will also be moved there.

This will hopefully visually free up the Mission Planning section and make it easier to see which troops are still upcoming. There aren't any access restrictions on the archive folder, people can look back and see all the troop requests, where they were, who attended etc at any time.

The folder appears at the top of the Mission Planning section. Luke and I will be responsible for reviewing the posts in the Mission Planning section and archiving the old information.

It is really important that we keep up to date with our troop sign ups and more importantly the troop reports. Troop reports are legally required for us to stay compliance with our Public Liability Insurance. They are our only official record of who attended what event, cover our OH&S obligations and comply with RL policies and procedures too.

Within Australia all of the Rebel Legion and 501st Legion members are covered by the same overarching PLI policy, but each Base/Garrison have to keep accurate records of who attends what, the details of the event, and a mini report of what happened at the event.

If you are the only Rebel approved member attending an event, then guess what? You get the privilege of writing the troop report! Otherwise we will either ask for volunteers or assign members on a rotational basis. We don't want the same people having to write every one. They also aren't meant to be a burden. There is a template inside the Troop Report folder on the forum and it covers off all the information that we need to gather. Also, 90% of the report information comes from the actual troop request. All you have to do is copy across those details and then add any extra info about what happened on the day. Adding pictures, if there are any from the event, are also good if you have them (or just links to photo sharing sites like Flikr).

For this to be easier on your fellow members it does rely on people reliably signing up to troops though.

Are you wearing a rebel approved costume? Then you must sign up on the RL forum.

Are you wearing a dual approved costume? Well it would be nice if you signed up on both forums if you could, so your trooping activity will be counted by both Legions and any Detachments that you are a member of. Does every other Tython member know that you are a dual approved member? If they don't know, and you aren't sign up on the forum, how are they meant to know to add you to the Troop Report?

Another common scenario we have is for members with multiple approved costumes. If you aren't sure what you are going to wear to a troop (eg. over a full day/weekend convention) it's okay to sign up on just one of the forums. If you do end up wearing an RL or 501st specific costume during the event then you should go and sign up on the relevant forum after the event. This is mainly to cover people for PLI. Example, Luke signs up on the SCG forum and wears his Officer costume for most of the day. He decides to put on his Ewok costume for an hour or so. If something then happens to him, or a member of the public, during that time we have no written record of an Ewok being at the event. That puts both the member and Legion at risk. So if you do troop in different legion costumes you need to make sure your follow up with any associated admin.

I've done a review of the outstanding troop reports at the moment and I'll do a separate post asking/reminding people which ones still need to be completed. All other completed troops, cancelled troops or events that had no Rebel attendees have already been moved to the archive folder.
