Zach and I didn't send in a photo of us in costume. I noticed we're still signed up and confirmed so I guess it's OK. Was the photo requirement for new (yet-to-be) approved costumes?
We're planning on going and looking forward to some Tantive IV type battles (we'll be running a lot trying to find new positions to fight from) in HP pavilion!

Photo requirement was for all volunteers. I was able to give them photos from your profile and Zachs.
Everyone who submitted costumes was approved for the event! You guys are good to go.
I sent out some updated information in the Yahoo group.
Hello Endor Base members,
I've heard back from the coordinators for the Star Wars concerts taking place at HP Pavilion on Sunday. I've got a lot of updated info for all of you.
Everyone who has submitted a costume was approved! Some of you have the choice of wearing one of two costumes you were interested in. Please see the list below.
PHONE NUMBERS: Since this event is going to have a lot of last minute pieces to put into place (such as doors to meet at, if we are getting free parking) I should really have every volunteer's cell phone number in case I need to call you all with any last minute details. Please e-mail me your phone numbers or send me a text message (my number is in the Yahoo Group version of this message) with your name and screen name so that I can easily add your number to my phone (texting would be easiest for me actually).
Weapons: Blasters and lightsabers are fine
Handlers: They have asked if we have anyone who needs to enter the facility as a handler with the costume volunteers. Please let me know ASAP so I can get back to them on this and see who I can potentially add to the list as a handler. (I will be putting myself down as a handler for the 2:00 show because I think as one of the coordinators for the Rebel Legion I should at least be there to make sure everything is going OK. )
Here is an update on Arrival Times for volunteers:
Doors open for the 2:00pm show at 12:30. Arrival time 11:30 It has been suggested that we arrive 1 hour prior to doors opening to allow enough time to meet up with our coordinator, get into the facility, change and be ready for the crowds when they enter the arena.
Doors open for the 7:00pm show at 5:30. Arrival time 4:30
Passes to allow volunteers inside: There will be no physical passes to hand out. We all need to arrange to meet our SW in Concert contact at a specified entrance (we are awaiting to find out which parking lot and entrance to use) and we will rely on them to escort us in.
Parking We are still waiting to find how parking will be handled. There is no guarantee yet they can cover our parking, but they are working on it for us. They may be pre-paying for a specific number of spots in a specified lot or paying for a limited number of parking spots for 501st & RL volunteers. I suggest everyone begin figuring out potential car pooling plans between RL members or fellow GGG members who are volunteering for the concert. We have up to 30 volunteers per show and it is highly unlikely they would pay for 30 individual parking spots per show.
Changing Room There is usually one large changing room. If women need some privacy, they can use the women's restroom.
Tickets for the show: no word on this. We heard that in LA people were surprised and given seats for the show. I don't know what has been happening at other shows and this could be a venue by venue decision and out of the control of the concert promoters themselves.
Changing before the show starts: We'll play this by ear the day of the event. We were originally told all volunteers need to dress down before watching the show. But word has it that in LA they relaxed on this and people in soft costumes didn't have to change. So, be prepared to have to change, but we'll see if they lighten up this restriction and give us a break. It was reported for the LA show, the people in costume who were given complimentary seats for the show simply exited about 5 minutes early so they could be in the lobby to greet guests when the show let out. So, the plans seem to evolve venue to venue and we ask that you all be flexible and await any last minute instructions we may get the day of the event.

This *should* be the final set of information for HP Pavilion Star Wars in Concert Volunteers.
PARKING
We gave out parking spots to those who replied to our notification in the 501st and RL forums and had car pools arranged. We had to cut off applications this evening because we needed to get the list in to our contact for the concert. We apologize for it being last minute, or if any of you missed the call out for parking spots.
Approved Car Pool Drivers will be using the HP Pavilion employee Parking Lot. Come under the 87 highway overpass and the lot is off of Santa Clara. (I believe it is lot 1422 on this map > ) They should have your name at the gate.
Here are the drivers for Rebel Legion:

If you are finding your own parking spot, please reference the parking lots listed on this page . I beleive Matt Tolosa suggests the Market & San Pedro Square parking garage. ARRIVAL TIME: We have been asked not to enter the HP Pavilion any earlier than 1 hour before door opening. So the meet-up time for entry to the venue is 11:30 for the 2:00pm show, and 4:30 for the 7pm show. The concert staff will not be ready to meet us and escort us in any earlier than those times.
MEET UP LOCATION: Rear doors of the Arena that face the parking lot (not the front doors with the marquis) http://endorbase.org/hp.jpg
WATCHING THE CONCERT: All of our approved volunteers and handlers will be given free seats to watch the concert! If you have a costume you are able to sit in for the duration of the show, you don't have to change into street clothes! However, helmets must be removed. 15 min before show times, Wendy and Keirstin (SW in concert employees) will make a walk around to make sure there is time for volunteers to make it to either purchased seats or the provided complimentary seats.
CONTACT INFO: Keirstin is our contact working for SW in Concert. (She is the production assistant). Her assistant is Wendy . If you need to contact Keirstin I gave out her cell phone number in the Yahoo Group.
Weapons: Blaster and Lightsaber are approved
Getting together for Breakfast, Lunch or Dinner: Many Rebel Legion and Fan Force members are meeting up at Brittania Arms at roughly 11:00am. Some are meeting up for dinner there after the 2:00 show ends, and a few of us may go there after the 7:00 show. Their dining hours are 9:00am-10:00pm Address is 173 w. Santa Clara Street
The Show
Star Wars in Concert is a 2-hour program comprised of two 45-minute acts and a 30-minute intermission. The show will generally run from 7:30 pm to 9:30 pm with doors opening at 6 pm. Our venues will predominantly be closing at 11 pm. In some cities there will be a matinee, whether it is in conjunction with an evening show, or by itself. There is also a full exhibit of props, costumes, and artwork traveling with the show. The exhibit will be in the lobbies and concourses of each venue.
Duties
501st and Rebel Legion participation is voluntary. Participants will interact with the concert audience, in character, throughout the exhibit prior to the concert event. Doors generally open 90 minutes prior to curtain and we expect our participants to be prepared and in costume by that time. We expect participants to arrive with enough time to be prepared 90 minutes prior to curtains. We also encourage participants to again interact with the audience, in character, after the concert. The audience will be taking their final walk through the exhibit as they exit and looking for last minute photo opportunities with costumed participants. We do not expect participants who have bought tickets to the show to interact with the audience on the concourse during the 30-minute intermission. _________________ Base Webmaster

I just want to thank Kathy and Ed D. for co-coordinating this and keeping everyone up to date. Great job, you two!
My only regret is not having two shows over two days. That way, I think we all could've taken more pictures of each other and the exhibits; and having R2 there would've been a nice bonus. But I'm glad I got to see the concert twice (well, technically 1 1/2 times), and that we got (most) of the Endor Base members at the Endor background for a group photo.

I can't wait to see your photos and Jessicas! I only got to take a few photos before the first show since I was in street clothes for that one and a 'handler'. Little did I realize as I ate my lunch in back and then 'quickly' ran out to buy my drink and stuff at the souvenir stand that a few of our costumers were getting swarmed by patrons! Thanks to Jessica for helping everyone out as a handler and staying on for the second show.
Oh - and you have got to be kidding about R2. I think it was way too crowded at HP for an R2 to maneuver. If a tall Jedi like Scott had trouble moving, I really don't think there was any way to get an R2 to and from the changing room unless it remained parked in one safe spot until everyone had entered the Arena.
